PowerPoint Team slide Library - Troubleshooting tips

PPT Productivity PowerPoint add-in makes it easy to access brand assets and teams slides/layouts/templates throughout your organization. You'll find a recorded tutorial on how to set up your Team Slide Library for PowerPoint.

If you have set up your PowerPoint Team Slide Library or are in the process of setting up a Slide Library for your organization but need some guidance, check out this list of common questions and troubleshooting steps.   1. Where should I save my Team Slide Library? Your Team Slide Library for PowerPoint should be saved to a shared file location in your organization that your team members all have permissions to access. This needs to be a location that has the option for local replication (a share drive that supports you working offline).
  2. Can I save my Team Slide Library on a cloud drive like DropBox, OneDrive, SharePoint, Google Drive etc? Yes, you can save your PowerPoint Team Slide Library content to a Cloud drive, providing it is a drive that replicates to your team members local machines. This means it needs to be a drive that is accessible by your team members when there is no internet connectivity.   3. I can’t see my Team Slide Library items in my PowerPoint Slide Library toolbar. Check that you have saved the correct files to the correct shared location. Note that when setting up each Team Slide Library, you need to convert your document to corporategallery.pptx files, prior to saving to the Team slide library location. Once converted to a gallery file, save the whole folder to the Share location.   4. I can see the Team Library items in my Slide Library, but my team can’t. Confirm that your team have configured their team slide library location correctly via their PPT Productivity settings in PowerPoint. Learn how to configure the team library at Slide Library for Teams. Confirm the library content is made up of corporategallery.pptx files in the library folders as per the above instructions. If the location of the Team Library has been configured correctly, and the library content is made up of corporategallery.pptx files, click the Download Now button on the Slide Library Configuration Settings, in the PPT Productivity settings in PowerPoint on your team member(s) machine(s) (please refer to the screenshot below for guidance). Then click Ok.

  1. How do I update names of items/assets in the Team Slide Library? Right click on the thumbnail of the item you want to rename in the Slide Library Toolbar. Select rename and key in your updated name. Once you have finished renaming the assets/items in the the Library, copy the file from your local folder (C:\Users\Public\Documents\PPT Productivity\XXXX) and save it to the shared location where the Team Slide Library files are saved. When prompted to overwrite the existing folder, select Yes. To check the update was successful, force a sync of your Team Slide Library from the dropdown menu at the bottom of the Slide Library Toolbar by selecting 'Download Libraries from my organization'. If the asset/item names do not revert to the original names then you know the update has been successful.
  2. I’ve made updates to the Team slide library but they have not synced to my teams members slide library in PowerPoint. Check the configuration settings. If the changes were made prior to the last check for updates, you can click the download now button to sync the changes.   3. I’ve clicked Download Now, but updates are not reflected in the team members Slide Library. Check that the changes to the library were made in the source file saved in the shared folder and not made to the file located locally at C:/Users/Public/Public Documents. All changes to team slide library content need to be made in the source file saved in the shared file location.
  4. Can I add more libraries in PowerPoint at a later date? Yes, simply create your new libraries, then copy/cut these from the local file location on your machine (generally C:\Users\Public\Documents\PPT Productivity\ ) and paste them to the shared team library folder location. The next time your team's libraries run an update (dependent on the number of days set in the team slide library configuration settings) the new libraries will sync to your team Slide Library.
  5. How do I delete content from my Team Slide Library? Open the source file in the shared Team Slide Library location. Delete the slide(s) containing the content that is no longer required, and then save the file. When your team member's libraries sync (timing is dependent on the number of days set in the team slide library configuration settings) the content you have deleted will disappear from their view of the Slide Libraries.   6. If team members change items used from the Team Slide Library will it affect the content of the library for everyone? No. Only changes made to the source file will affect other team members library content. And if a Team member accidentally changes items in their instance of the Team Slide Library, they can fix this by refreshing their instance.   7. Can the Team Slide Library be configured silently by IT? Yes. Learn how to share Slide Library and other custom configuration settings via IT at Share Custom Settings with Team.
  8. Can individual team members configure the Team Slide Library? Yes. Team Slide Library settings can be managed by individual team members or exported by IT. To manage the configuration of your PowerPoint Team Slide Library settings, go to the dropdown box at the bottom of the Slide Library Toolbar and select 'Configure my organization Library server location'. The Configuration settings for the Team Slide Library will then open and individuals and set their preferences.

  1. Can I share the team slide Library settings with team members? Yes, you can share your Team Slide Library settings with other team members. Learn how at Share Custom Settings with Team
  2. Can the team slide library be hosted on Sharepoint? Yes. The Team Slide Library can be hosted on SharePoint which is replicated to the end users local machines.   3. How do I add tags to library content? Adding 'tags' to your library content can make the Slide Library search even faster. To add a tag, simply add a # and the word you want to use as the tag in the Notes section of the slide before saving the shape/slide to the slide library. If you want to add tags to content already in the Team Slide Library, open the Library file from the source file location, add the tag/s to the Slide Notes section and hit save. The changes will then sync to your Teams Library when the software checks for updates (which is dependent on the number of days set in the Team Slide Library configuration settings)
  4. How do I find content in the Team Slide Library? Your can search your Slide Library via the search filter at the top of the Slide Library Toolbar. Simply add the keyword you are looking for and all Library items that contain the keyword will appear in the Slide Library window.   5. Why can't I see my Team Slide Library content? The Slide Library will only show content from the Libraries that are selected in the Slide Library Filter. If you can't find content in your Slide Library, check the specific Library is selected in the Slide Library Filter. To check which Libraries are enabled click 'Select Libraries'. You'll see a list of all Slide Libraries you have access to. Here you can ensure that your team Slide Library is selected. Learn more about the Library Filter at Slide Library search
  6. How can I refine the content in my Slide Library Toolbar so I can only see the Team Slide Library content? To reduce or refine what is visible in your Slide Library Toolbar, click on the Select Libraries button at the top of the Slide Library Toolbar. From here you can deselect any libraries that wish to remove from the Slide Library view. Note that you can restore access to these at any time by checking the box next to each of the Libraries, or by selecting 'Select All' at the top of the Libraries Filter.   7. Can I refine the content of my Slide Library Toolbar so I can only see the Icon Libraries? Yes. At the top of the Slide Library Toolbar, check the 'Icons only' checkbox. This will filter your Slide library view to show only libraries that have 'Icons' in the title.
  8. Why can't I see all of my Library content? If the 'Icons only' box is checked, only libraries with the titles 'Icons - XXX' will be visible. Make sure icons only is not selected.
  9. What is the Library Filter? The Library filter is accessible from the 'Select Libraries' button at the top of the Slide Library toolbar. The Library Filter allows you to select which Libraries you want to have visible in the Slide Library Toolbar. It also gives you access to download the PPT Productivity Slide Libraries.
  10. How can I access the PPT Productivity Library content? In addition to your company's slide library assets, you can also download Slide Library content from the PPT Productivity library which has 2000+ icons, maps, flags, frameworks and other commonly used slide layouts and assets (access to these downloadable assets is included in your PPT Productivity Power Tools licensing). Click the 'Select Libraries' button at the top of the Slide Library Toolbar. At the bottom of the Libraries Filter, click the 'Download New' button to view the content available on the PPT Productivity website. Check the box/s next to each of the libraries you wish to download. The library content will download and be visible in the Slide Library Toolbar. Click Ok at the bottom of the Libraries Filter.
  11. Can I use the PPT Productivity Library content in my Team Slide Library? Yes. If you want to include content from the PPT Productivity libraries, simply add it to your document then save along with the other slides and shapes you are adding to your Team Slide Library.
  12. My Slide Library Toolbar has disappeared. How can I get it back? At the top left hand side of the PPT Productivity ribbon you should see the words 'Format', 'Library' and 'Colors'. Click on Library and the Slide Library Toolbar should now appear on the right hand side of the PowerPoint screen.
