Slide Library for Teams

PPT Productivity's Slide Library for PowerPoint lets you save slides, shapes, slide elements, icons, images and more for easy reuse. PPT Productivity makes it easy to share PowerPoint slide library with team members. It's a PowerPoint slide management feature that is available for individuals or teams, giving you a powerful PowerPoint content library at your fingertips. Teams get the added benefit of being able to share a common set of shapes and slides.

If your organization has been missing the SharePoint Slide Library since Microsoft decommissioned it, you'll love PPT Productivity's features. Teams can host common Corporate PowerPoint Libraries of shapes and slides on a company share drive that replicates locally (for example Microsoft OneDrive, Sharepoint or Dropbox). PPT Productivity's Slide Library is a great alternative since Microsoft retired the Reuse Slides PowerPoint feature.

All team members can then access the shapes and slides for reuse from within the Slide Library for PowerPoint.

Team Slide Library

PPT Productivity's Slide Library feature can also be used to create Team Slide Libraries for PowerPoint. Share a common PowerPoint library of reusable standardized slides, images and objects across team members or an entire company. PPT Productivity's Team Slide library makes it easy to quickly insert company approved slides into PowerPoint. Find and insert slides from old presentations fast by creating a shared library asset for your team.

Think of the Slide Library Toolbar as your access point to find shapes or slides you have saved. The Team Slide Library for PowerPoint feature is hosted on a share drive in your organization, so your company's data remains secure and within your existing IT stack (no external hosting required). All team members can then access your Team Slide Library.

PPT Productivity's Team Slide Library for PowerPoint feature is great for sharing entire slides for reuse as well as objects such as logos, endorsed images and more. You can create multiple shared Team Slide Libraries and easily search across them all. You can also select specific folder collections to narrow your search (great if you work across different clients or business units).

Team Slide Libraries are all accessed via the Slide Library Toolbar (which also lets you save a personal library of slides and shapes).

PPT Productivity's Slide Library toolbar displays in PowerPoint to the right of the screen. You can search the Slide Library Toolbar by keying the object name into the search bar, or by scrolling through the thumbnail previews. The auto sync capability lets you publish to a single central location (internal or cloud shared drive) and auto-distribute updates to all users.

Team Slide Library slides and shapes stay hosted within your organization - you can use this feature without your files needing to be externally hosted. PPT Productivity automatically replicates Team Library files on users local machines, which means that team members can still access their libraries when offline (and supports fast library search).

PPT Productivity's Team Slide Library for PowerPoint feature is similar to the Microsoft SharePoint Slide Library that is no longer available. Create multiple Team Slide Libraries

Create multiple Team Slide Libraries for PowerPoint and upload them to a central repository in your organization. Teams can auto-sync to the Team Slide Libraries and access them via the Slide Library Toolbar in PowerPoint. This lets you manage all content from a single location.

Separate Business units or Teams often require specific imagery or have common slide reuse needs. Similarly, Consulting firms using their client's templates and/or brand imagery in presentations have a need to separate the relevant imagery for each client.
PPT Productivity supports this with the ability to have multiple Team Slide Libraries for PowerPoint. For example you could create one Team Slide Library for Common Corporate Brand assets and slides, then separate additional Team Slide Libraries for each Business Unit or Client (so the Sales team could have a Business Development Library with BD slides, etc).
Similarly, you can create a separate PowerPoint Slide Library for each consulting client. Users can then download the relevant Slide Library(ies) for their work, benefitting from the common set of PowerPoint assets without needing to navigate an overwhelming number of Slide Library items.

Synchronize Team Slide Libraries

Each PPT Productivity user can configure their Team Slide Library for PowerPoint to replicate (download updated version from the master file) on a regular basis.

The Slide Library for PowerPoint has been designed so users can download as many Slide Library files as required, making them always available (especially when offline for travel).
The Team Slide Library files are downloaded to users' machines but can be easily set to replicate or synchronize. This is a simple process - Navigate to Settings > Library - Corporate on the toolbar and enter the folder location for the Team Slide Libraries.
All subfolders will then replicate on a regular basis, so a downloaded version is available for disconnected work, but updates are always available to users. All team members seeking to use the Team Slide Libraries can configure these settings in their PPT Productivity toolbar settings.

Synchronize Team Slide Library to your company Dropbox/ Box/ OneDrive folder

Your Team Slide Libraries for PowerPoint can be saved to an accessible company share drive - enabling them to be accessible to all team members, while retaining the data securely within your organization

If you have a shared internal drive (for example named as G:\, \servername\sharename\folderpath, or similar) or a local storage from your local computer via a cloud drive (e.g. Box, Dropbox, OneDrive, Google Drive etc.), you can also use this as a central distribution for your PowerPoint Team Slide Libraries.
Upload one or multiple folders from your local Team Slide Libraries folder to your distribution point on your cloud storage provider or internal shared drive. Users can then auto-sync to these files.
PPT Productivity enables you to benefit from the collaboration benefits of sharing the PowerPoint library files, but you can retain all files within your systems (no external hosting required to use this feature).

Your Team Slide Libraries need to be stored in a location that all team members can access. Any team members seeking to access and use the Team Slide Libraries will also need PPT Productivity Power Tools licenses.

Updating your Team Slide Library

When you add shapes or slides from within the Slide Library toolbar to a PowerPoint Team Slide Library, changes are only made to your local version of the library. These changes will not be replicated back to the master (to ensure team members do not unintentionally change shared libraries). Updating Team Slide Library master files is done via a different method but it is very straightforward. Note that we recommend you appoint a team member as the Library Admin to support quality control of updates.

Each Team Slide Library file is saved as a standard PowerPoint presentation (for example corporategallery.pptx). To update the central Team Slide Library, you need access and make changes to the source .pptx file.
To update a PowerPoint Team Slide Library, your nominated Library Admin can simply open the source .pptx gallery file from its location on your company share drive, make the required changes, and Save.
To add one or more slides to an existing Team Slide Library, open the file from the source location, make required changes to the file and Save. You will be prompted to enter the new Library information for each new slide.
To delete a Team Slide Library item, just delete the slide in the master source file (deleting the slide in the source file is the same as deleting in a normal PowerPoint file).
To change the Team Slide Library item name of an existing slide, close the presentation and edit it from the Slide Library toolbar by right-clicking on the Team Slide Library item and pressing Rename.

Productivity Tip

When adding a new slide to a Team Slide Library, avoid using PowerPoints' "Duplicate Slide" option (as you won't be prompted for the new slide name). Instead select "insert new slide" and copy any existing shapes or add new shapes

Import entire presentation to the Slide Library

Created a great PowerPoint presentation and want to save/import all slides as a new Slide Library for easy reuse? Rather than save slides individually, use PPT Productivity's import capability to bulk import all slides/shapes from a PowerPoint presentation.

This feature is particularly useful for sales presentations, where the team want to consistently use a common core set of slides but need to make client specific tweaks and add pricing updates for each PowerPoint presentation. Open the PowerPoint presentation you want to import and from the Slide Library toolbar "Actions..." menu click "Save current presentation as a new library..."
The Team Slide Library name will by default be the name of the PowerPoint presentation, or the title of the first slide if the PowerPoint presentation has not been saved (you can change the gallery name at any point by editing the relevant library folder name in C:\Users\Public\Documents\PPT Productivity).
You will then be prompted for the name and thumbnail to represent each PowerPoint slide. By default, the name will prepopulate with text from the slide in the following order: Any text in the Notes field, any text found in the slide Title, any text found in a shape on the slide (in the order added to the slide).
Next select whether to save as Shapes, or save as a Slide, and select the preferred thumbnail from the options displayed. Repeat for each slide.

Productivity Tip

To bulk import all slides using prepopulated text and default thumbnail type, tick "Bulk import remaining" option. This will bulk save all Shapes/ Slides without a prompt.
This works best if you first nominate a slide/ shape name in the presenter notes of each slide, or if that is missing, the slide title. If a slide is found without any text to use as a name, it will pause and prompt you to enter a name before continuing the bulk import.

If you've created a great set of Slide Library items, in addition to the option for setting up a Team Slide Library, you also have the option to just share a personal Slide Library with a specific colleague.

Any Shape or Slide you've added to the Slide Library for PowerPoint is saved by default into your Personal library.
You can share this Slide Library with a colleague via email. In the Slide Library Toolbar, on the "Actions..." menu, click "Share Personal Gallery via email..."
Your personal Slide Library will be attached to a new email with all the instructions your colleague needs to add as a new Slide Library. Note that sharing a personal Slide Library provides the recipient with a copy of the Slide Library.
To share a common Slide Library with colleagues that can be centrally updated, we recommend using the Team Slide Library for PowerPoint feature

Productivity Tip

Sharing a personal Slide Library doesn't 'over-write' or replace the recipient's personal Slide Library. The shared Slide Library is exported with instructions so it can be saved by the recipient as a new additional Slide Library group.
