Change Fonts
How to replace fonts in PowerPoint? PPT Productivity's Replace Fonts feature lets you view the fonts currently used in your PowerPoint presentation and select one or all to replace with your preferred font. The feature will apply the changes throughout your presentation.
Find Fonts
NEW FEATURE - RELEASED JANUARY 2025
Identify all fonts used in your PowerPoint presentation with PPT Productivity's Find Fonts feature.
PPT Productivity's Find Fonts feature lets you quickly view all fonts used in your PowerPoint presentation. Standard PowerPoint has a Replace Fonts feature but it has some limitations - it only lets you select one Font type at a time and to replace it with another font. There are no options around specifying font sizes, you cannot change multiple fonts at once and the standard feature cannot accommodate for the variation between font sizing.
When you run PPT Productivity's Find Fonts feature, the feature reviews your PowerPoint presentation, finds all instances of PowerPoint fonts and presents them to you in a list. You can then click on any of the font types in the list to navigate to the next instance of the font in your PowerPoint presentation. You can also select any font(s) in your PowerPoint presentation that you would like to replace (refer to the Replace Fonts feature below for more information).
Replace Fonts - Simple
NEW FEATURE - RELEASED JANUARY 2025
Replace all or selected fonts in a couple of clicks.
PPT Productivity's Replace Fonts feature is similar to the Proofing Tools Fix Fonts feature, but with additional options. Standard PowerPoint has a Replace Fonts feature, but it has some limitations - it only lets you select one Font type at a time and to replace it with another font. In standard PowerPoint there are no options around specifying font sizes, you cannot change multiple fonts at once and the standard feature cannot accommodate for the variation between font sizing.
When you run PPT Productivity's Replace Fonts feature, the feature reviews your PowerPoint presentation and finds all instances of PowerPoint fonts. PPT Productivity's Replace Fonts feature lets you select the font types in your presentation that you would like to change based on more nuanced options, plus there is a simple or advanced mode to the feature (by default the simple mode will display).
- Font style and size: You can select to replace a specific font that is larger or smaller than a nominated size. For example, if you want all footnotes to remain in Arial but change body text and Slide Titles to Calibri, you can nominate that all font larger than 8pts is changed from Arial to Calibri
- Bold/ Italics: You can select to replace only the specific fonts that are bold or italicised with a different font
- All Slides or Selected: To replace fonts on specific slides, select those slides from the thumbnail view before clicking the Replace Fonts feature button. Select the Selected Slides or all Slides radio button to choose how to apply your changes
- Specify replacement font size: PowerPoint fonts all have variations of size for the same point size (e.g. 12pt Calibri font is smaller than 12pt Arial font). The Replace Fonts feature has a Font size delta option, so for example you can choose to make your fonts all 3pts smaller than current size when changing the deck from Arial to Calibri (to minimize the impact on formatting when changing the fonts)
Productivity Tip
Setting up preferred fonts in PowerPoint Templates makes it easier to create presentations with consistent font usage (If you're creating a new template, we've written a great guide on How to setup a PowerPoint template which includes tips on how to set up fonts correctly).
But if you have inherited a presentation with various fonts, this Replace Fonts feature will save the day and let you quickly fix all fonts.
Replace Fonts - Advanced
NEW FEATURE - RELEASED JANUARY 2025
Replace all or selected fonts in a couple of clicks.
When you run PPT Productivity's Replace Fonts feature, the feature reviews your PowerPoint presentation and finds all instances of PowerPoint fonts. PPT Productivity's Replace Fonts feature lets you select the font types in your presentation that you would like to change based on more nuanced options. There is a simple or advanced mode to the feature (by default the simple mode will display).
Refer to the above feature to read about the options in Simple mode. Once you click the Advanced button on PPT Productivity's Replace Fonts popup box, you will see the following additional options:
- Inherit from Slide Master: Rather than specifying a new font, you can specify that your presentation be updated to apply your current Slide Master fonts (it is important to understand that if you have multiple Slide Masters in your presentation, the Theme fonts for each Slide Master will be applied to the respective slides)
- Slide Title or Body: You can nominate preferred fonts to use for the Slide Titles in your presentation and the Body text of your presentation (important to note that if the proper Slide Title placeholders have not been used for Slide Titles, they will not be updated by this feature, but you can use the font size options in the Simple option to replace them)

Replace Fonts - Slide Master, Handouts, Notes
NEW FEATURE - RELEASED JANUARY 2025
Replace all or selected fonts in PowerPoint Slide Masters in a couple of clicks so the Slide Master matches the presentation!
PPT Productivity's Replace Fonts feature lets you quickly find and fix fonts in your PowerPoint presentation, but it also has the option to update fonts in your Slide Masters. PPT Productivity's Replace Fonts feature displays the list of Slide Masters used in your PowerPoint Presentation, and provides the option to replace fonts in one or all of the Slide Masters in use.
Alternatively, you can nominate to 're-apply' the fonts from your Slide Master(s) to your PowerPoint presentation, to restore the intended formatting.
PowerPoint Slide Masters are complicated. The Slide Master for your PowerPoint presentation leverages the PowerPoint template being used. The PowerPoint template is comprised of a combination of the Slide Master Layouts, the Theme Fonts and the Theme Colors. For more detail about how to create or update PowerPoint templates and themes, we've written this great explanatory blog post.
To update the PowerPoint Font in your Slide Master without this feature, you would need to:
- Navigate to view Slide Master in PowerPoint
- Select then Fonts from the Background group on the PowerPoint Slide Master tab
- From the Fonts dropdown box, select from the preset Font options, or click Custom to set up your own preferred font
- If you have a PowerPoint presentation with multiple Slide Masters, you will need to repeat these steps for each PowerPoint Slide Master (by clicking on the 'Parent' slide master from each before selecting Font dropdown)
- Note that if someone has edited a specific Slide Master Layout, any changes made via this method will not automatically override the changes to specific layouts
This is why PPT Productivity introduced the Replace Fonts in Slide Master Option. Using PPT Productivity's Replace Fonts feature (click the Advanced options button on the popup to access the Slide Master features), simply select preferred fonts in PowerPoint for your presentation and nominate to update your Slide Masters, all in a couple of clicks from within the popup.
You can also view and update the fonts specified for Handouts in PowerPoint and Notes in PowerPoint via PPT Productivity's Replace Fonts Window - simply check the checkbox for each to update them.

Change Font Size
NEW FEATURE - RELEASED JANUARY 2025
Change the font size for all or selected fonts in your PowerPoint presentation, with PPT Productivity's Change Font size feature.
PPT Productivity's Change Font Size feature lets you quickly select and change the font size of either all fonts in a PowerPoint presentation or a selection. Standard PowerPoint has a Replace Fonts feature but it has some limitations - it only lets you select one Font type at a time and to replace it with another font. There are no options around specifying font sizes.
When you run PPT Productivity's Change fonts feature, the feature reviews your PowerPoint presentation, finds all instances of PowerPoint fonts and presents them to you in a list. You can then click on one or all of the font types in the list, and specify a new preferred font size for the selection.
