PPT Productivity's Proofing Tools features let you quickly refine PowerPoint presentations to tidy up formatting, brand alignment and spelling or punctuation errors.

The Proofing Tools feature lets you check your presentation quickly. You can choose to auto fix, review or ignore the issues identified in the check. There is an option to check selected slides, or check entire PowerPoint presentations.

Fix Fonts

Review your PowerPoint presentation for inconsistent fonts - and fix them in a single click!

PPT Productivity's Proofing tools for PowerPoint make it easy to refine your presentation. Trying to fix a PowerPoint Presentation with various fonts? PPT Productivity lets you set your preferred Font in the Proofing Tools settings.

When you run PPT Productivity's Proofing tools, the Fix Fonts feature reviews your PowerPoint presentation and finds all instances of PowerPoint fonts that are not your preferred font.

You can auto fix all fonts or sizes (to change font on all slides to your preferred font) in a single click, or choose to review each instance. The font fixer for PowerPoint shows all instances of different font types and sizes in your presentation - specifically:

  • Font size: Check the font sizes used throughout your PowerPoint presentation compared against your specified acceptable minimum and maximum font sizes (you can specify separate preferred minimum and maximum font sizes for Slide Titles, Textboxes/Shapes and Footers in the Proofing Tools settings).
  • Presentation Font types: Check the font types in your PowerPoint presentation against the font nominated as your preferred font and identify all different fonts (the results lists each instance of different fonts so that you can review or fix all).
  • Slide Title Font types: Check the Slide Title font types in your PowerPoint presentation against the Slide Title font nominated as your preferred font. The results identifies each instance of different fonts with an option to quickly fix all.

Via the Proofing Tools settings you can either nominate your preferred font for a presentation, or use the Proofing Tools Template Sync option to identify the fonts and sizes specified in your template.

Productivity Tip

Setting up preferred fonts in your PowerPoint Templates makes it easier to create presentations with consistent font usage - but if you have inherited a presentation with various fonts, PPT Productivity's Proofing Tools feature lets you fix all fonts quickly.

Fix Lines & Outlines

Review your PowerPoint presentation for inconsistent line and outline weights and corners and fix them in a single click. PPT Productivity's Proofing tools make it easy to refine your PowerPoint presentation, including a quick fix for lines and outlines.

In Proofing Tools settings, set the preferred PowerPoint line and outline thickness for your presentation. Proofing Tools can review your presentation and find all instances of lines and outlines that differ from your preferred styles.

You have the option to auto fix the inconsistent lines, outlines, or corners, or you can choose to review each instance. Helpful when creating a PowerPoint presentation with multiple authors collaborating and contributing slides.

Proofing tools reviews the following scenarios for PowerPoint lines, outlines, and rounded corners:

  • Line/ Connector style: Checks for the use of lines in your PowerPoint presentation and the weight of each line compared to your preference (e.g. if you set a line weight of 0.25, Proofing Tools will find any lines that are thicker or thinner.
  • Arrow style: Checks for the use of arrows in your presentation and the style of PowerPoint arrows used, compared to your preference (in the Proofing Tools settings you can nominate from the 5 different arrow head styles in PowerPoint and the 9 different arrow head sizes, to set a standard arrow style for your presentation). Note that the arrow style feature works on PowerPoint arrows (it will not work for example on arrow symbols pasted into a presentation).
  • Shape border style: Checks the outline of PowerPoint shapes throughout your presentation, compared against your specified outline weight/ thickness (you can specify your preferred shape outline weight in the Proofing Tools settings).

Fix Layout, Transitions, Animations

Review your PowerPoint presentation for shape and text outside slide boundaries or outside the No-Fly Zone

PPT Productivity's Proofing tools features include the Slide Layout Check. The Check Layout feature reviews your PowerPoint presentation and finds any slides with text or objects outside the slide boundaries so you can quickly fix them. You can also select a tighter boundary using PPT Productivity's No Fly Zone for PowerPoint feature.

Set up your No-Fly Zone and Proofing tools will flag for review any slides with text or objects outside your No-Fly Zone (helpful for example if you have colored branding around some of your slide perimeter).

Wondering why you need to review for shape outside boundaries? PowerPoint lets you add text or shapes to slides and move them outside the slide boundaries. This is very helpful when creating your slides but can cause issues when finalizing your presentation. Objects in PowerPoint that have been moved outside the slide boundaries remain in a presentation file until deleted, even though they are not visible when printing or presenting - so it's easy to forget about them.

If you opt to review against your No Fly Zone, the Check Layout feature flags any items outside the perimeter you have specified. Proofing Tools returns a list of objects to review. For each object you can choose to delete, or to relocate to within the slide boundaries.

The PowerPoint Layout check feature can also identify:

  • Shape alignment: if you have multiple shapes of the same type in a row that are not aligned, the Layout check for PowerPoint feature flags them to review or fix.
  • Rounded corner radius: If you are using rounded corner rectangles in your PowerPoint presentation and want to make the corners consistent, specify your preferred radius for rounded corners and use this setting to check for variance. The feature identifies any rectangles with rounded corners that are different to your preference, allowing you to autofix them (When you resize a rounded corner rectangle, the radius of the corner changes. This feature lets you reset the corner radius in PowerPoint for all rounded rectangles, so that your shapes look more consistent).
  • Ovals vs circles review: if you have oval shapes in your presentation, the Layout check feature will flag them for review (to check whether you intended them to be circles.)
  • Slide transitions: this feature flags PowerPoint Slide transitions in your presentation for review, so you can quickly delete them (helpful if you are distributing copies of a presentation after presenting).
  • Slide animations: this feature will flag any PowerPoint animations in your presentation for review so you can quickly delete them if necessary (also helpful when distributing copies of a presentation after presenting).
Productivity Tip

Remember - all Proofing Tools Checks are optional. If you prefer to keep ovals, animations, or transitions in your final presentation, simply make sure these review options are left unchecked before running the Proofing Tools.

Fix Punctuation & Language

Check punctuation in PowerPoint slides easily with PPT Productivity addin - including missing quotation marks and full stops/ period consistency on bullet points.

PPT Productivity's PowerPoint Proofing tools features include the Check Punctuation & Language feature. This feature lets you quickly scan your document to find:

  • Proofing Language: Specify your preferred Proofing Language in the Proofing Tools Settings and the Proofing Tools can find any instances of alternate Proofing Languages in your presentation - you can choose to review each instance or fix all.
  • Slash spacing: Configure a preference of a space after backslashes or no space, then run Proofing Tools to find any inconsistencies in your presentation. For example choose no/space or space/ after preference
  • Sentence spacing: Configure a preference of sentence spacing (how many spaces after a period aka full stop: you can nominate one space or two spaces), then run Proofing Tools to find any inconsistencies in your presentation.
  • Colon spacing slides: Configure your preference of a spacing after colons or no spacing, then run the check to find any inconsistencies.
  • Bullet/ numbered list finish: Configure a preference for your bullet points and numbered lists: do you prefer a period at the end of each, or no period? Then run Proofing Tools to find any inconsistencies in your presentation.
  • Unmatched double quotes: Identify any instances of quotation marks in your presentation without a corresponding close
  • Repeated words: Identify any instances of repeated words in your presentation
PPT Productivity's PowerPoint Check Punctuation feature gives you the option to auto-fix punctuation errors in a single click. Or you can choose to review and fix each instance (or disregard the review items).

Fix Margins, Bullets, Indents

Check your PowerPoint presentation formatting with this handy feature. Check Formatting of your Margins, Bullets and Indents in PowerPoint. Specify your preferences in the settings, then run Proofing Tools to identify variances.

The Margins, Bullets and Indents check feature for PowerPoint looks at:

  • Shape/ Textbox margins: Check margins in PowerPoint shapes and text boxes to find variances
  • Slide Title Textbox margins: Check Slide Title margins to find variances
  • Table cell margins: Check PowerPoint Table margins to identify variances
  • Bullet size: Check for the use of the bullet points aligned with the PowerPoint Template and identify any non-conforming bullet point sizes
  • Consistent Indents: Specify preferred indent levels and Proofing Tool checks and identifies any inconsistencies

Check for Confidential items

Quickly review your PowerPoint presentation for confidential items you would prefer to remove before finalizing, including sticky notes, interim status stamps, hidden shapes, hidden slides and more.

PPT Productivity's PowerPoint Proofing tools features include the Check Content for Confidential items Feature. This feature scans your PowerPoint presentation and finds items you might want to remove before finalizing, including:

  • Empty shapes: Identifies any empty shapes in the presentation, so you can choose to remove or retain them.
  • Slide notes: Proofing tools finds any slide notes in your Presentation. You can single click to remove all PowerPoint slide notes or choose to review each note.
  • Comments: Proofing tools finds any PowerPoint comments in your Presentation. You can choose to single click delete all comments in PowerPoint, review each comment or ignore the warning.
  • Status Stamps: If you have used PPT Productivity's Status Stamps in PowerPoint while preparing your slides, you can check to ensure all stamps have been deleted before finalizing your presentation.
  • Sticky Notes: If you have used PPT Productivity's Sticky Notes feature while preparing your PowerPoint slides, you can check to ensure all sticky notes have been deleted before finalizing your presentation.
  • Hidden Tags: Find any hidden tags in your PowerPoint Presentation and review or remove them (note: we recommend reviewing tags, rather than deleting all via auto-fix. The feature identifies all PowerPoint tags because some tags contain data you may want to remove. However, some tags are application specific and removing them can impact functionality in PowerPoint).
  • Hyperlinks: Identifies any hyperlinks in your PowerPoint presentation, so you can confirm whether you intended to include them in the final version (this is also a reminder to test whether they are valid links if you plan to keep them in the presentation).
  • Alt Text: Identifies any Alt Text in your PowerPoint presentation, so you can review each instance to ensure descriptions are relevant or delete if preferred (it is important to note that Alt Text is a great feature for improving accessibility of documents. This feature is a prompt to review the Alt text which is often auto generated).
  • Hidden shapes: Identifies any hidden shapes in your PowerPoint presentation, so you can choose to remove or retain them (e.g. shapes or textboxes obscured behind other shapes).
  • Hidden slides: Identifies any hidden slides in your PowerPoint presentation, so you can confirm whether to unhide or remove them.
The Check Content in PowerPoint feature gives you the option to auto-fix comments, sticky notes status stamps and animations in a single click. For Hidden Tags, Hidden Shapes, Hidden Slides, Alt Text and Hyperlinks, the feature will show you each instance, so you can review and determine the best way to fix.

Reduce File Size

Check and reduce PowerPoint file size easily with PPT Productivity addin.

Trying to work out how to compress a powerpoint? PPT Productivity's PowerPoint Proofing tools features include the Check & Reduce File Size feature. This feature lets you quickly identify opportunities to compress PowerPoint file size (helpful when you need to email presentations or upload them). The Reduce PowerPoint File size feature looks at:

  • Unused slide layouts: Identifies any unused PowerPoint slide layouts that could be removed
  • Multiple slide masters: Identifies if there are multiple PowerPoint slide masters that could be removed
  • Large images: Proofing Tools shows where large images are in your PowerPoint presentation and the image sizes, so you can choose to compress them
  • Embedded Media - Audio/ Video: Identifies all audio and video files in the PowerPoint presentation and the sizes of each. You can choose whether to retain, compress or remove each
PPT Productivity's PowerPoint Check and reduce file size feature lets you quickly review the options for reducing file size. Note that the feature identifies each opportunity to reduce file size, so you can review each instance to determine the best way to fix.

Check Slide Master

Quickly remove multiple slide masters in PowerPoint and any unused slide masters, to reduce PowerPoint Presentation file size.

Marketing teams often create PowerPoint Presentation Templates with a large number of Slide Masters to ensure brand compliance for every variation of slide layout. These PowerPoint slide masters in the template become part of each PowerPoint presentation file that is created using the template. As a result, they can cause the PowerPoint presentation file sizes to be unnecessarily large.

In addition, whenever you paste a PowerPoint slide into a presentation from another template, PowerPoint adds the Slide Masters from the original template to your current Presentation - which results in multiple PowerPoint slide masters.

Once you finish creating a PowerPoint presentation, you can reduce the file size by deleting unused Slide Masters, but it can be a time-consuming task to identify each layout that is unused.

To solve this problem - PPT Productivity's Proofing tools has a Slide Masters Review feature. This feature checks your PowerPoint presentation and identifies multiple slide masters and unused slide masters. You can then choose to retain or delete the extra slide masters.

Removing multiple slide masters in PowerPoint is the best way to reduce your file size without needing to change your actual presentation content.

Productivity Tip

The Slide Master Review feature will only impact your current PowerPoint presentation, it will not impact the PowerPoint template aka .pot file. This means you will continue to have access to the other PowerPoint Slide master layouts in future presentations.

Sync Template Settings

Sync Proofing Tools to your open PowerPoint Template to make document checking easy.

PPT Productivity's PowerPoint Proofing tools features let you run a review of your PowerPoint Presentation to find inconsistencies and errors including different fonts and line thicknesses, inconsistencies in punctuation and more. You can customize the settings based on your preferences, but you can also use the Template Sync feature to update your settings to match your open PowerPoint Template.

Perfect when working across a variety of PowerPoint templates, so that you are checking for variances against the font templates, outlines, margins and colors.

Fix Colors

NEW FEATURE COMING IN PROOFING TOOLS SECOND RELEASE - DUE MID-LATE 2025

Check and fix colors in PowerPoint for consistent presentations and brand alignment.

PPT Productivity's PowerPoint Proofing tools features include the Color fix feature. This feature identifies every color variant used in your PowerPoint presentation (by RGB code), allowing you to select and replace a color. It will also identify any colors used that are not part of your PowerPoint Template theme color palette.

For example, perhaps a contributor to your presentation used the wrong shade of blue that is inconsistent with your brand colors - this feature will find any instances in your PowerPoint presentation and let you select the correct RGB to update them.

The Check Colors feature lets you select all instances and update them with your preferred color. Note that this feature is in the second release of Proofing tools, due in early 2025.
