How to reuse slides in PowerPoint? PPT Productivity's Slide Library makes it easy! The toolbar displays saved slides and shapes to the right of your screen, ready for easy reuse. What can you save in the Slide Library?

Shapes: Save your favorite PowerPoint shapes or frameworks - the Slide Library Toolbar is an extended PowerPoint shape library

Images: You can save images to the Slides Library. Perfect for saving photos and more

Save slides or shapes to the PowerPoint Slide Library, for faster reuse of PowerPoint slides. Access your slides and shapes library by scrolling thumbnail images or searching for the slide name in the Toolbar. Slide Library Search supports partial word search, so for example searching for 'Ar' will find any slides with Arrow, Bar, or Dark in the name.

The Slide Library Toolbar displays to the right of your PowerPoint screen. When you save slides or shapes by default they save to your own private Slide Library for your own reuse. But Teams can also create Team Slide Libraries, to share slides and shapes across a team or entire company.

Your Slide Library by default saves your library files to your local machine. You can change this via the Settings button on the PPT Productivity Ribbon > Slide Library to save your Library files to your preferred company share drive. Any Slides or Elements you save to your Slide Library remain within your company IT stack and are never accessible by PPT Productivity.

To save a slide or shape, simply select it, press 'Save Shape...' on the Slide Library toolbar in PowerPoint, enter a name for your slide or shape and select a thumbnail image (from options displayed).

You can easily search the Slide Library by object name, or by scrolling and viewing thumbnail images. The number of words in a shape name is not constrained and shape names do not need to be unique (noting that unique naming does make searching easier).

To use a slide or shape, simply click the thumbnail in Slide Library. Objects saved as Slides will be inserted as a new PowerPoint slide. Objects saved as a Shape will be added to your current selected PowerPoint slide.

Toggle the 'use source formatting' setting on the Slide Library Toolbar to either paste your slide or shape using the current template colors or the colors that the element was saved with. This means that when you reuse a shape or slide from your Slide Library it can automatically update when pasted to the current presentation theme template colors.

PPT Productivity's Slide Library provides an option to use source formatting or destination theme formatting for shapes, slides and templates. To use your PowerPoint template theme colors, make sure the Use Source Formatting checkbox on your Slide Library is unchecked. Icon Library

PPT Productivity Power Tools add-in has a PowerPoint Icon Library included in the Slide Library Toolbar. The Icons are included in your Power Tools license (and available in the free trial). They are optional- you can use your organizations icons or personal collection, or you can download the icons (almost 2000 icons!) for use in your PowerPoint presentations.

Using the Slide Library Toolbar, you can search the Icon library for PowerPoint by scrolling through the thumbnails, or you can search by keyword. You can also select a specific icon group to narrow down your search. The icons can all be resized and recolored to suit your PowerPoint presentation - simply insert any icons to your slide and then adjust.

You can also save more icons to the Slide Library. Save them one at a time or import groups of icons easily.

Fast and effective search lets you quickly search your Slide Library for PowerPoint to find whatever you're searching for. Make it easy to reuse slides in PowerPoint with PPT Productivity's Slide Library feature. As you type the library auto filters and shows thumbnails of the search results.

PPT Productivity's Slide Library is similar to Microsoft's decommissioned SharePoint Slide Library feature for PowerPoint (Microsoft decommissioned it from SharePoint 2016). The Slide Library holds Library folders of PowerPoint shapes, slides, templates and images. You can quickly search your Slide Library for specific slides, shapes, icons, or other saved objects.
Search across all libraries which have been selected to display in your Slide Library. This can include personal libraries, corporate libraries and PPT Productivity downloadable library files. Case, punctuation and spacing are ignored, to provide an enhanced search experience. The Slide Library toolbar for PowerPoint is the perfect SharePoint slide library replacement

Search for textbox will also find library items with text and box. Words can appear in any order in the search filter. Searching for right two with also find Two column transition - right. To find an exact text match, add double quotes to the filter.
There is an Icon checkbox on the Slide Library toolbar that lets you filter your search to return only PowerPoint Icons (the search looks for the word Icon in the object name). Slide Library Search supports searches and filtering by non-Latin/ Roman characters (for example Arabic, Chinese, Cyrillic, Greek, Hebrew, Japanese, Korean, Persian, Tamil, Thai).

Productivity Tip

By default your Slide Library for PowerPoint will show all libraries, but you can deselect infrequently used libraries to make search even faster. To select or deselect libraries, use the 'Select Libraries...' button on the Slide Library toolbar.
Unselecting Slide library folders does not delete them. Deselected libraries are excluded from displaying in the Slide Library toolbar in PowerPoint or search results, but you can reselect them at any time.

Tag Slide Library objects

Add tags to your PowerPoint slides and objects when saving to your PowerPoint Slide Library to make keyword search easy. PPT Productivity's PowerPoint Slide Library feature makes it easy to save and reuse slides, images and objects. You can tag slides with keywords in the Slide Notes when saving, to provide greater flexibility in the search. As you type the library auto filters and shows thumbnails of results that match keywords.

PPT Productivity's Slide Library is similar to Microsoft's decommissioned SharePoint Slide Library feature for PowerPoint (Microsoft decommissioned it from SharePoint 2016). The Slide Library holds Library folders of PowerPoint shapes, slides, templates and images.

The tagging feature provides greater keyword search flexibility. For example, add tags for industry, business unit, client and more.

Search Library via shortcut keys

PPT Productivity's customizable shortcut keys can be used to search the Slide Library for PowerPoint.

Press Ctrl+Alt+F to navigate from your PowerPoint presentation into the Slide Library filter search field. Type your search term then press Tab to navigate to the results list.

Use the arrow keys to navigate to your desired shape or slide, and press Enter to paste it to your PowerPoint presentation.

Ctrl+Alt+F has been created as the default PowerPoint shortcut keys to search the Slide Library (you can customize this and all other shortcut keys for PowerPoint).

Slide Library update alerts

PPT Productivity regularly update the downloadable libraries with new shapes and slides (in addition to enabling you to save your own library of shapes and slides).

When new or updated libraries of shapes and slides are released by PPT Productivity, a notification bell icon will appear on the Slide Library. Click the notification icon to select some or all the libraries to download to your Slide Library.

Rename or delete objects

Easily rename or delete PowerPoint shapes, slides or other objects from your Slide Library Toolbar.

You can rename or delete objects in the Slide Library for PowerPoint. You have full control over your Personal Slide Library items- any changes that you make will be a permanent change to your Personal Slide Library.
PowerPoint elements you have saved to the Slide Library yourself e.g. your own shapes, images, icons or slides are controlled by you and do not get updated automatically by PPT Productivity releases.
However, if you update the Team Slide Library or PPT Productivity Downloadable Library objects from within the Slide Library, any changes you make will be overwritten when central updates to those libraries are made.

Productivity Tip

To permanently keep personal changes you have made to a Tean Slide Library or slide/ shape/ object downloaded from PPT Productivity, open the Slide Library from your File Explorer e.g. C:\Users\Public\Documents\PPT Productivity, and copy the Library folder. The new Library folder name will become the new name when you search for it in the toolbar using 'Select Libraries'.
Alternatively - save individual shapes slides or other objects to your Personal Slide Library collection. Team Slide Libraries can also be updated - please refer to the Updating Team Slide Libraries page.

You can share your Slide Library for PowerPoint Personal Libraries with others, or organize your shapes and slides into separate Slide Library folders/ groups.

PPT Productivity provides two options for collaboration with the Slide Library. You can either export a Slide Library file to share it with selected colleagues, or you can create a the Team Slide Library to share across a team or enterprise.
For the Team Slide Library option please refer to the Team Slide Library overview. To export your own Slide Library of saved shapes, objects and layouts to share with colleagues or to clone a Library file for changes: from the Library toolbar "Actions..." menu click "Export Personal Library to a new library..."
Create and select a new library (gallery) folder in C:\Users\Public\Documents\PPT Productivity. The name of the folder becomes the Library name.
The new Library can now be used separately or shared with colleagues as a Team Slide Library.

Save slides or shapes to Slide Library

It's easy to save shapes, icons, logos or entire slides to your PowerPoint Slide Library for quick reuse.

Simply select the shape or slide you want to save (to select an entire slide, click on it in the thumbnail preview to the left of screen). From the Slide Library toolbar, click Save shape.

A popup box will appear so that you can enter a name for the shape or slide. You can also nominate the best thumbnail for the shape or slide that will appear in the Slide Library toolbar when searching.

By default, PPT Productivity prepopulates the name with text from your PowerPoint slide in the following order:

Any text in the Notes field
Any text found in the slide Title
Any text found in a shape on the slide (in the order added to the slide)

You can select from the radio buttons to choose either the PowerPoint slide title or slide notes to be used for the shape name. Or you can enter a new name for the shape or slide. The Slide Library Object or Slide names do not need to be unique - but it does make it easier when searching the library to find the shape or slide later.

Next, choose whether to save as Shapes or as a Slide. Objects saved as slides will insert a new slide into your PowerPoint presentation when selected later. Objects added as a shape will be added to a slide when you select them from the library. When you save objects such as images, icons or logos, any existing hyperlinks or alt text that are part of the original object are saved in the Slide Library. For example - if you add a hyperlink and alt text to a company logo and then save it to the Slide Library, the hyperlink and alt text will appear when you paste the logo to a new presentation.

Save presentation to Slide Library

Created a great slide deck and want to save the entire PowerPoint presentation to your PowerPoint Slide Library for easy reuse? Rather than saving slides individually, use the import capability to bulk import all slides/shapes from a PowerPoint presentation.

Open the PowerPoint presentation you want to import. From the Slide Library toolbar "Actions..." menu, click "Save current presentation as a new library..."
The name will by default be the name of the PowerPoint presentation, or the title of the first slide if the presentation has not been saved (you can change the name at any point by editing the relevant Library folder name in C:\Users\Public\Documents\PPT Productivity).
You will be prompted for a name and thumbnail to represent each slide. By default, the name will prepopulate with text from the slide in the following order: Any text in the Notes field, any text found in the slide Title, any text found in a shape on the slide (in the order added to the slide).
Next, select whether to save as PowerPoint Shapes or as a Slide, and select the preferred thumbnail from the options displayed. Repeat for each slide.

Productivity Tip

To bulk import all slides using prepopulated text and default thumbnail type, tick "Bulk import remaining" option. This will bulk save all Shapes/ Slides without a prompt. This works best if you first nominate a slide/ shape name in the presenter notes of each PowerPoint slide, or (if that is missing) the slide title. If a slide is found without any text to use as a name, it will pause and prompt you to enter a name before continuing the bulk import.
